Overview
The Bulk Translation Tool allows you to export a table of all phrases in your ZiftPRM environment as a comma-separated (.csv) format file. This file can easily be opened by off-system users such as translators for manipulation of the data including translation, localization, or consistency audits.
Once the required changes have been made, you can import the table back into the ZiftPRM database. The system will then display the version of any phrase that corresponds to the user's preferred language settings.
If no translation is provided for a given phrase, the user will see the default English version.

How to Export ZiftPRM Phrases for Translation
- Navigate to Portal and CMS > Bulk Translations.
- For the Select Entity or Standard Phrases option, select either the standard application phrases or those associated with a specific Entity.
- [Optional] If you select a specific Entity, you will be given the option to restrict which phrases relating to that Entity are included in the export.
- [Optional] Use the Date Range Filter to restrict the file to phrases that were created or updated between two dates. This is useful if you wish to extract only content that was created or updated after earlier translation work was completed. However, providing the complete set to translators will help ensure a more consistent output.
- Select the languages to export. By default, English is selected. We recommend that you leave this selected as it can help a translator to understand the content of the phrase. You should also select one or more target languages.
- [Optional] Use the Only export if no translations available for dropdown menu to restrict the list of phrases for which no translation exists in the target language. The options available will be limited to the languages you selected in Step 5. This allows you to exclude phrases for which a translation may exist in the target language but not a specific country-language pair. For example, if a phrase has a France-French translation, this may be adequate for Canada-French.
- [Optional] Select a subset of the listed items for inclusion in the export file by clicking the left-most cell of the desired rows. Once you have completed your selection, click Export Selected Rows.
- To export all records, click Export All Rows.
- In the dialogue box, select the location where you would like to save the export file. By default, this will be saved with the name exportPhrases.csv. You can open this file with any spreadsheet application.
The comma-separated values (.csv) format is one that can be opened and edited using any spreadsheet software. Once you have updated the phrase translations for the selected phrases, you can import the same file using the import procedure below.
How to Import a .CSV File of Translated Phrases
This procedure assumes that you are using a .csv file with the correct column headings. The way to ensure that that the import file has the correct structure is to modify the fields, but not column headings, of the exportPhrases.csv file.
- Navigate to Portal and CMS > Bulk Translations.
- Click Import Dialog.
- Click Upload and Preview CSV file.
- Use the popup window to navigate to the location of the exportPhrases.csv file that contains the translated phrases.
- Once the file has been parsed, you will see a green message bar confirming there were no errors and asking you to review the preview records to ensure they have correctly loaded.
- Once you are satisfied that the import is correct, select one of the two options for completing the upload:
- Only add new translations will ignore any phrases for which a translation in the target language exists.
- Add new and update (overwrite) existing translations will add new phrase translations and replace any existing ones with the values in the new file.
- Click Load Phrases. The number of successfully imported records will be displayed.
